Privacy Policy
This policy explains what personal data we collect through this website, why we collect it, how it is used and stored, and the choices and rights available to you.
Visiting Faculty operates an informational website with private enquiry forms. Submitting a faculty registration does not create a public profile, listing or directory entry. We do not publish faculty profiles, CVs or institution requirements on this website.
01
Scope of this policy
This policy applies to personal data collected through visitingfaculty.com, including the faculty registration form, the institution and organisation requirement form, the contact form, and email correspondence sent to us at info@visitingfaculty.com.
It does not apply to third-party websites you may reach through links on this site, or to information you share directly with an institution, organisation or faculty member outside our forms.

03
CV and document uploads
Uploading a CV or profile document is optional but recommended, because it helps us understand your background more accurately. Uploaded documents are stored in private storage that is not publicly accessible and not indexed by search engines. They are not listed, published or made browsable on this website.
A CV may be shared with an institution or organisation only where it is relevant to a specific faculty requirement, and in line with the purposes described below. If you would prefer that we ask you before any such sharing, tell us at info@visitingfaculty.com and we will record that preference against your record.
04
Why we process your data
- To understand a faculty profile and assess suitability against teaching, training and speaking requirements.
- To understand an institution's or organisation's requirement and identify suitable faculty from our network.
- To contact you about a specific opportunity, requirement, clarification or scheduling matter.
- To respond to general enquiries and messages you send us.
- To maintain internal records of engagements, discussions and correspondence.
- To operate, secure and improve this website and its forms.
- To comply with applicable legal, regulatory or record-keeping obligations.
05
Basis for processing
We process personal data on the basis of the consent you give when you tick the consent box and submit a form, and for the purposes described in this policy and notified to you at the point of collection. This approach follows the framework of the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025, as applicable and as brought into force from time to time. Different provisions of that framework are being brought into effect in phases, and we will update our practices as further provisions commence.
Where processing is necessary to comply with a legal obligation, or to establish, exercise or defend a legal claim, we may process data on that basis as permitted by law.
06
Consent and withdrawal
Consent is given by you when you submit a form. You may withdraw your consent at any time by emailing info@visitingfaculty.com from the email address you used, or by otherwise identifying your submission clearly.
Withdrawal takes effect for future processing. It does not affect processing already carried out while your consent was valid, and it does not affect information we are required to retain by law. If you withdraw consent, we will normally stop considering you for faculty opportunities and will delete or de-identify your record and any uploaded document, subject to those legal exceptions.
07
Data minimisation and accuracy
We ask only for information that is relevant to faculty engagements and training requirements. You are responsible for the accuracy of what you submit; please do not submit information about another person unless you are entitled to do so.
If your details change, write to info@visitingfaculty.com and we will update your record.
08
Sharing and disclosure
We do not sell personal data and we do not share it for advertising.
- With institutions and organisations, only to the extent relevant to a specific faculty requirement or opportunity being discussed.
- With faculty, only to the extent needed to describe an opportunity and its requirements.
- With service providers who host our website, database and file storage, and who process data on our instructions under confidentiality obligations.
- Where disclosure is required by law, regulation, court order or a lawful request from a government authority.
- Where necessary to protect our rights, safety, or the security and integrity of this website.
09
Retention and deletion
We do not apply a single fixed retention period. We keep personal data for as long as it is reasonably necessary for the purpose it was collected for, and for as long as required for legal, regulatory, accounting or dispute-resolution reasons.
In practice, a faculty record is retained while you remain interested in engagements through our network, and an institution record is retained for the duration of the requirement discussion and a reasonable period afterwards. When the purpose no longer applies and no legal requirement demands retention, the data is deleted or de-identified.
You may request deletion at any time by writing to info@visitingfaculty.com.
10
Security safeguards
We apply reasonable technical and organisational safeguards appropriate to the nature of the data we hold. Submissions are transmitted over encrypted connections, form data is stored in an access-controlled database, and uploaded documents are held in private storage that is not publicly readable. Access is limited to those who need it to respond to enquiries and manage engagements.
No method of transmission or storage can be guaranteed to be completely secure, and we do not claim absolute security or any certification. If we become aware of a personal data breach affecting you, we will act in accordance with applicable law.
11
Your rights
Subject to applicable law and as provisions are brought into force, you may be entitled to:
- Obtain confirmation of, and access to, a summary of the personal data we process about you.
- Have inaccurate or incomplete data corrected, completed or updated.
- Request erasure of your personal data where it is no longer needed for the purpose it was collected for and no legal obligation requires it to be retained.
- Withdraw consent previously given.
- Have a grievance addressed through the mechanism described on our grievance page, and to escalate to the competent authority where the law provides for it.
- Nominate another individual to exercise these rights on your behalf in the circumstances the law provides for.
To exercise any of these, email info@visitingfaculty.com with enough detail for us to identify your submission. We may ask you to verify your identity before acting.
12
Children and minors
This website and its forms are intended for adults acting in a professional capacity. They are not directed at children, and we do not knowingly collect personal data of a child. If you believe a child has submitted personal data through this website, contact info@visitingfaculty.com and we will delete it.
13
Cookies and analytics
This website does not use advertising cookies, tracking pixels or third-party analytics products. Only technologies strictly necessary to serve the site and operate its forms are used. Our cookie policy page describes this in more detail.
14
Where data is processed
We use third-party hosting, database and file-storage providers to operate this website. Depending on the provider's infrastructure, data may be processed on servers located outside India. Where that is the case, we rely on providers that apply contractual and technical protections, and we process data in accordance with restrictions applicable under Indian law as brought into force from time to time.
15
Grievances and contact
For any question, request or complaint about privacy, write to info@visitingfaculty.com with the subject line "Privacy". Please include your name, the email address you used to contact us, and a clear description of the issue. See our grievance page for how complaints are handled.
16

We may update this policy as our practices, our website or the applicable legal framework change. The current version is always published on this page with its effective date. Where a change is significant, we will take reasonable steps to bring it to the attention of people whose data we hold.
